VET FEE-HELP Refund Policy

Students do not incur a liability for a subject until after the census date, which is set 20% of the way through a subject. Hope College offers its courses in a variety of ways in order to give students or potential students the flexibility that they require. As a result the same subject may have different census dates. So below is an explanation about when your FEE-HELP Balance will be debited.

External Students:
External students have the opportunity to commence their studies at any time. Therefore, the following census day will apply to external students:

If external students are undertaking the Diploma of Ministry, then they will be completing 12 subjects in a calendar year. This equals one subject per calendar month.
Therefor an external Diploma of Ministry student will need to complete one subject per calendar month. The census day of the subject will be the sixth day of the month.
If external students are undertaking the Advanced Diploma in Christian Ministry and Theology, then they will be completing 12 subjects in a calendar year. This equals to one subject per month.Therefor an external Advanced Diploma in Christian Ministry and Theology student will need to complete one subject per calendar month. The census day of the subject will be the sixth day of the month.If external students are undertaking the Diploma of Counseling, then they will be completing 4 subjects in a calendar year for the period of two years. This means that external students will need to complete each subject over a period of three months. The census day for an external Diploma of Counseling student will be the eighteenth calendar day after the commencement of any given subject.

Internal Students:
Internal students are those that study on campus and have a fixed start date for each subject that they undertake.

This means that their census date will be a fixed day every term. For internal Diploma of Counselling subjects, Diploma of Ministry, and Advanced Diploma of Christian Ministry and Theology subjects on campus, the census date is set on the Friday of the subject’s second week in a 10-week term.This applies to all students whether they pay their tuition fees up-front or seek VET FEE-HELP assistance. Hope College refunds students any tuition fees that they have paid for a subject if they are no longer enrolled in that unit at the end of the census date. The exception is where VET tuition assurance has been activated because Hope College at the time ceased to provide the VET unit and the student has chosen the VET course assurance option in relation to that unit.Students who cancel their enrolment in writing before their census date will receive a complete refund.No refund will be given after the census date unless the student believes that special circumstances apply in their case.Special circumstances include but are not limited to; a bereavement in the family, a long term sickness that was not evident at the beginning of the VET unit of study, a family breakdown, or any other reason that the board of Hope College consider to be unusual circumstances, that would have made the completion of the VET unit of study within the time frames specified by Hope College impossible.Students who are, or would be entitled to VET FEE-HELP may withdraw for any reason up until the end of the census date for a VET unit of study. In order to be entitled a refund, students are not required to take any further action other than withdraw from a VET unit of study prior to the end of the census date.
All tuition fees for a VET unit of study will be repaid in full where a person is no longer enrolled in the relevant unit at the end of the census date. A student’s right to a refund of any tuition fees paid prior to the census date is not contingent on whether that student has made an application for that refund. The census dates and VET tuition fee refunds apply for each VET unit of study.Where a student who has requested VET FEE-HELP assistance withdraws from a VET unit of study after the census date, the student will incur a VET FEE-HELP debt for that unit.The student may apply to Hope College to have their FEE-HELP balance re-credited and the debt removed for that VET unit of study if the student believes that special circumstances apply in their case.Special circumstances include but are not limited to; a bereavement in the family, a long term sickness that was not evident at the beginning of the VET unit of study, a family breakdown, or any other reason that the board of Hope College consider to be unusual circumstances, that would have made the completion of the VET unit of study within the time frames specified by Hope College impossible.
Refunds will be posted within 30 days.
